cancellation policy.

1. Booking and payment

• How to pay: bank transfer or secure online card payment. Payment details are included with your quotation.
• For private safaris booked within 45 days of arrival, full payment may be required straight away, depending on the services and supplier commitments involved.
• All bookings are subject to availability and to written confirmation by Javiva Adventures Ltd.

2. Cancellation policy

All cancellations must be sent to us in writing by email or WhatsApp. A cancellation takes effect on the date we receive your written notice.

Cancellation charges made by hotels, lodges, camps, airlines and other suppliers, together with reasonable administrative costs, are taken into account when calculating your final refund.

3. Refund policy

Any refundable amount is returned after deducting the cancellation charges above and any non-refundable costs we have already paid on your behalf.

Refunds are normally processed within 14 to 30 business days, once the relevant suppliers have confirmed their refunds.

4. Amendments and changes to bookings

We understand that travel plans can change. Please tell us as early as possible if you need to change a confirmed booking.

• We will make reasonable efforts to change travel dates, accommodation, destinations and itineraries, subject to availability.
• Any extra costs, such as supplier charges, accommodation rate differences or transport changes, will be explained to you before the change is confirmed.
• Where possible, you may reschedule your safari instead of cancelling, subject to supplier approval and availability.

5. Non-refundable services

Some services cannot be refunded once they are booked or confirmed:

• National park and conservancy fees
• Gorilla and chimpanzee trekking permits
• Hot-air balloon safari reservations
• Domestic and international flight tickets
• Non-refundable accommodation bookings
• Other prepaid activities and special arrangements

Where these costs cannot be recovered from the supplier, they are deducted from any refund.

6. Cancellation by Javiva Adventures Ltd

In the unlikely event that we cancel a confirmed safari for reasons within our control, we will offer you an alternative arrangement or a refund for the cancelled services.

If a cancellation is caused by circumstances beyond our reasonable control, we will work with you on suitable alternatives, rescheduling or any refunds that apply.

7. Force majeure

Javiva Adventures Ltd is not responsible for circumstances beyond its reasonable control, including natural disasters, extreme weather, political unrest, epidemics, government restrictions, border closures and other unforeseen events that affect travel. We will make reasonable efforts to help affected clients with alternative arrangements or rescheduling.

8. Passports, visas and travel insurance

You are responsible for making sure your passport, visas and other travel documents are valid and meet the entry requirements of every country you visit.

We strongly recommend comprehensive travel insurance that covers trip cancellation, medical emergencies, accidents, lost baggage and travel interruptions.

9. General booking conditions

We may make reasonable changes to a confirmed itinerary when needed because of weather, road conditions, wildlife conservation rules, safety concerns or other circumstances beyond our control. We will tell you about any significant change as soon as reasonably possible.

Paying a booking deposit means you accept these booking terms and conditions.
